For your convenience, we offer direct billing to most major extended health benefit plans and accept ICBC claims.

LATE CANCELLATION/NO SHOW POLICY

We require 24 hours notice for appointment cancellations. As last minute appointments are very difficult to fill, cancelling with less than 24 hours notice or not showing up for a scheduled appointment prevents us from providing care to others.

In the event of a late cancellation or a no show we charge:

  • 50% of the appointment fee for the first late cancellation or no show 
  • 100% of the appointment fee for each repeated incident

We understand your schedule may change and circumstances may arise causing you to cancel your appointment. Please communicate any changes as soon as possible via phone or email.

How do I know how much my plan will cover?

Coverage varies from plan to plan. Plans may cover portion or the full amount of a session. Some plans have a deductible and many have a yearly limit. If you have questions about your coverage, please contact your extended health carrier for your specific plan details.

Is it possible to bill multiple health care plans?
We are able to bill to one extended health care plan only. If there is a remaining balance for the treatment, the client will be issued a receipt for the amount paid. Clients can submit the remainder to a second insurance provider themselves for reimbursement.
What if I have an open ICBC or Worksafe claim?

If you have an open ICBC or WSBC claim, we cannot bill your extended insurance for injuries related to claim.

Can cancellation fees be submitted to my extended health plan?

No – appointment cancellation fees cannot be billed to insurance providers. Clients are responsible for covering any late cancellation and no show fees.

What information do you need to bill my insurance?

We will need the name of the insured member’s insurance
company, policy number, and member ID. These details should be listed on your extended benefits card. If the insured member is a family member, their date of birth and relation to the person making the claim may also be required.

How does it work if my visit is only partially covered by my extended health plan?

The covered portion is directly billed to the insurance provider and the remainder is paid by the client. We kindly ask that balances are paid on the date of service. Please note that some plans do not allow direct billing. If this is the case, you will be asked to pay for your service after your appointment and we will send you a receipt to submit for reimbursement on your own.

Is a doctor’s referral required for direct billing?

A doctor’s note is not needed to submit direct billing claims unless the health benefits plan requires it.

What if my claim is denied?

If a client’s claim is declined, they are responsible for covering the cost of the treatment. Our administrative team will advise you if you claim does not go through before you leave the clinic. We kindly ask that balances are paid on the date of service. Some plans do not allow direct billing. Contacting your extended health carrier is the best way to determine the details for your specific plan.
